General Purpose of the Job:  
 
Perform a variety of administrative functions including shipping, receiving, spare parts, accounting, travel arrangements, etc. 
 
Essential Duties and Responsibilities:
 
  • Track the receipt and shipping of all repair parts for the PTS.
  • Perform and maintain an accurate parts inventory in the eMaint software database.
  • Coordinate delivery and shipping of equipment and parts with other sites domestic and international. 
  • Maintain the automatic reporting of parts inventory and parts usage.
  • Perform a variety of administrative functions:
    1. Schedule appointments
    2. Take incoming calls & provide information to callers
    3. Incoming & outgoing mail, faxes and transmittals
    4. Document filing and printing
    5. Composes memos, transcribes notes, and occasionally take dictation
  • Generate reports, and handle official logs and correspondence
  • Prepare and monitor invoice and expense reports.
    1. Manage site purchasing accounts (vendors, subcontractors, etc.)
    2. Compile amounts owed, organize invoices and record transactions
    3. Monitor and record petty cash, and site financial account usage
    4. Handle personnel re-imbursements for business expenses
    5. Prepare and monitor invoices and expense reports
  • Use SAP & coordinate with IBA personnel in the US and internationally for issues such as shipping & receiving, tracking of repair RMA’s, spare parts, etc.
  • Organize business related travel itineraries to and from the site, plan hotel stays, taxis and car pool management
  • The receipt, validation, warehousing, ordering and shipping of all parts and materials to support the operations of a PT System. 
 
Qualifications:   
  • Minimum of 3 years of experience with inventory management and international shipping.
  • Minimum of 1 year experience as an administrative assistant.
  • A good working knowledge of Microsoft Office products such as Excel, Word, Access, Outlook and PowerPoint are required. SAP experience highly desired.
  • General spreadsheet and reporting principles.
  • Ability to lift or move up to 50lbs repeatedly.
